Instagram DM automation: the complete guide for businesses

11 min read

Instagram DM automation means software sends or answers direct messages on your account when something triggers it: a person messages you, comments a keyword on a post, or replies to a Story. The software matches the trigger, sends a fixed text or an AI reply, and your team sees the result in a shared inbox. Everything it can do is set by Meta’s official API, which has two timing rules that shape every setup: a reply to a DM must go out within 24 hours of the customer’s last message, and a private reply to a comment must go out within 7 days of the comment. This guide covers what you can automate, what you cannot, the rules behind it, how to avoid trouble, and how to set it up in VivaDialog. It is also the hub for our other DM articles, linked where they fit.

If your starting point is comments, the Instagram comment automation guide is the companion to this one. If you work in a team, the unified social inbox guide covers the shared inbox.

What people mean by “Instagram DM bot”

The search terms (instagram dm bot, auto dm instagram, auto reply dm instagram, bot messages instagram) cover five different jobs. Only some are possible through Meta’s official API.

What people want Possible through the official API Rule behind it
Answer a DM someone sent you Yes Within 24 hours of the person’s last message
Send a DM to someone who commented Yes, one per comment Within 7 days of the comment
Answer a Story reply or Story mention Yes It arrives as a DM, so the 24-hour rule applies
Answer someone who tapped your ig.me link Yes The first message opens the 24-hour window
DM new followers or a list of strangers No A conversation has to start with the person

VivaDialog covers the first four rows. Every automation starts from something a person did. It never sends first messages to people who have not written or commented. That is also why tools that promise to DM your followers in bulk sit on the risky side of the Instagram bot map.

The two timing rules

The 24-hour window

Meta calls it the standard messaging window. It opens when a customer messages you and usually lasts 24 hours from their last message. Each new message from the customer opens a new window, so a conversation that keeps going stays open. After the window closes, a tool cannot send a normal reply until the customer writes again. This applies to every reply sent through the API, by hand or automatic.

Two articles go further. Unanswered Instagram DMs and the 24-hour window explains how the window works and how comments differ. Replying to Instagram DMs after 24 hours covers the exceptions Meta documents, such as conversations that start from a Click-to-Direct ad, and what VivaDialog does once the window has closed. The full list of Meta’s messaging windows, tags, and rate limits is in Instagram messaging API limits and rules.

VivaDialog stops automatic replies at 24 hours of item age as well. An automation never answers a message or comment older than that, so it cannot suddenly reply to a backlog. When a reply was not sent, the automation’s History shows the reason, for example the 24-hour window.

The 7-day private reply

A comment is public, and a DM is private, so Meta treats the move from one to the other as a special case. A business can send one private DM to the person who wrote a comment, within 7 days of the comment. Follow-ups are allowed only after the person answers. How to send an automatic DM when someone comments on Instagram shows the setup, and the comment-to-DM template gives you a start.

What DM automation can do in VivaDialog

An automation is a rule with a trigger, optional conditions, and actions. You find them under Automations, on the Rules tab.

Triggers

Under What starts this automation?, choose New DM or New comment. Under Which messages?, choose one of:

  • Messages with certain words: the message contains words you list under Words to look for, such as price, hours, order. A regular expression is available for precise matching.
  • Messages with a certain intent: you describe in one sentence what the message is about, such as “the customer asks about the price”, and AI checks new messages against it. A check that matches uses 1 AI reply, and one that does not match uses none.
  • Every message: the automation runs on everything it watches, which suits an away message.

An Instagram automation can be limited to replies to your Story, mentions of you in someone’s Story, or comments on your live video, under Only from. On live comments Meta allows only a DM reply.

Replies

Under How should it reply?:

  • Same text every time sends a fixed message. Instagram quick replies: examples has wording you can borrow.
  • Answer with AI follows the business instructions you write for that automation, such as prices, hours, and links. It answers only from those facts. An automatic AI reply ends with a short note such as “(automated reply by AI)”, so the customer knows. The note is on by default.

Further actions on a DM: add a tag, assign it to a team member, move the contact to a later stage such as Interested, and mark it read. On a comment, you can also hide it.

A reminder DM

Under Send a reminder later?, you can tick Yes, send a second DM if they do not write back. It goes out from 30 minutes to 23 hours after their message. It is not sent if the customer writes back first, if your team has already replied, or once the 24-hour window has closed. A Reminder label with the time shows on the conversation, and Cancel stops it.

Waiting before replying

Wait before running? lets an automation wait from 1 to 60 minutes. A short wait makes the reply feel less automatic. The wait is cancelled, and nothing is sent, if someone on your team answers first.

Skipping messages a person should answer

Skip messages that contain takes words such as refund or complaint, and the automation does not run on a message that contains any of them. Skip people who are already customers uses the stage shown on the Contacts page.

Set up your first DM automation

You need a connected account and an owner or admin role: connect your Instagram account first.

  1. Open Automations, click New rule, and choose Start from scratch, or use a template.
  2. Give it a Rule name. Under What starts this automation?, choose New DM.
  3. Under Which messages?, choose Messages with certain words and enter words such as price, hours, order.
  4. To keep it on one account, open Advanced settings and pick it under Only on.
  5. Add Skip messages that contain words such as refund.
  6. Under How should it reply?, choose Same text every time or Answer with AI.
  7. Optionally set Wait before running? to a few minutes.
  8. Use Test it first. Nothing is sent and no AI reply is used during a test. Then click Save rule.

For the comment version, choose New comment in step 2 and tick Send a private DM to the person who commented under Also send a DM?. How to auto-reply to Instagram comments has the step-by-step, and how automations work lists every option.

People can start a DM from many places: a button on your website, a QR code, or a bio link. Instagram DM link: how to make an ig.me link shows how to build the link and pair it with an automation that answers the first message. A New DM automation with Every message works well as the greeting.

Beyond a single reply: flows and the AI Agent

A rule answers one message. Two features keep a conversation going.

You can also use your own AI key for AI replies, instead of the monthly AI quota. To work with the inbox from an AI app, see manage your Instagram and Facebook inbox from Claude with MCP.

Keep a human in the loop

Automation covers the repeat questions. People handle the rest. In the inbox, the Waiting for reply view lists DMs where the customer wrote last, and Handled by shows who is taking care of a conversation. Tags and team notes carry context between teammates. How to reply to Instagram DMs covers answering by hand, and Instagram inbox for business shows the team routine. Instagram inbox for business walks through the filters and roles.

Replies your team writes by hand never count toward your plan’s conversation quota and always go out, even if the quota is used up. Only automatic replies count, once per conversation per month: what counts as a conversation.

Three setups that cover most businesses

  1. An away message. Trigger New DM, Every message, reply Same text every time: “Thanks for writing. We reply within a few hours, and here is our menu.” Tick the reminder only if you will answer when the customer comes back. Only promise a reply time you can keep.
  2. Price and hours. Trigger New DM, Messages with certain words with price, how much, hours, open, reply Answer with AI with your price list and opening hours written into the instructions. Add refund, complaint under Skip messages that contain, so a person handles those.
  3. Comment to DM. Trigger New comment on one launch post, words such as INFO, and a private DM with the link or details. Because Meta allows one private reply per comment, put everything the person asked for in that first message.

Start with one, read its History for a week, and then add the next. Each plan has a rule quota: 10 rules on the free trial, 20 on Starter, 50 on Growth, 100 on Pro, and 200 on Premium.

Safety: limits that apply to every automatic reply

Meta decides what gets an account restricted, and it does not publish the activity levels behind that. What we can do is stay inside its rules and keep volume modest. Every VivaDialog automation runs under limits you cannot switch off:

  • At most one automatic reply per comment or message, even if several automations match.
  • Nothing older than 24 hours gets an automatic reply.
  • Your own account never triggers an automation.
  • One private DM per comment, only to the person who wrote it.
  • A warning on the Automations page when an account connected less than 7 days ago sends more than 25 automatic replies and DMs in 24 hours. It warns and does not block, and 25 is our own cautious number, not a Meta limit.

Instagram says it has limits in place to stop direct messages that people may not want to get, so send DMs only to people who asked for something, and send what they asked for. If your account gets flagged anyway, Instagram thinks I’m a bot explains what tends to trigger it. Is Instagram comment automation safe? has a checklist for switching automation on.

Does it work beyond Instagram?

The same rules run on Facebook Pages (Messenger), Telegram bots from the Growth plan, and email from the Starter plan. Threads has no DMs, so the private DM step is skipped there, and a rule can still answer replies in public. DM automation across channels compares what each channel allows.

Choosing a tool

Look at four things: how it connects (Meta’s official login or a password), what happens at the limit, how it is priced, and whether your team can see and take over conversations. Best Instagram DM automation tools compares options, and flat vs per-contact pricing explains why the pricing model matters when your list grows.

Frequently asked questions

Can I send an automatic DM to someone who comments on my post?

Yes, one private DM per comment, within 7 days of the comment, and only to the person who wrote it. Send an automatic DM when someone comments shows how.

Can a tool DM my followers without them writing first?

Not through Meta’s official API. A conversation starts with the person: a DM to you, a comment, or a Story reply.

How long do I have to reply to an Instagram DM?

Usually 24 hours from the customer’s last message. After that the tool cannot send a normal reply until they write again. Exceptions are in replying after 24 hours.

Can I automate Story replies?

Yes. Use Only from to limit an automation to replies to your Story or mentions of you in someone’s Story. The reply is a DM, so the 24-hour rule applies. See Instagram Story reply automation.

Will customers know it is automated?

AI replies end with a short note in the reply’s language, such as “(automated reply by AI)”, on by default. Owners and admins can switch it off under Settings > General if they tell customers another way.

What happens when my conversation quota runs out?

Incoming messages are never blocked. Automations and AI stop answering new conversations until the month resets, conversations already counted still get automatic replies, and replies you write yourself always go out.

Will an automation answer an old message?

No. Nothing older than 24 hours gets an automatic reply.

Can automatic DMs get my account restricted?

No tool can promise they will not, because Meta decides. Replying only to people who contacted you, keeping replies relevant, and starting modestly on a new account lowers the risk.
