Automations and flows can add a row to a Google Sheets spreadsheet for each message they handle, for example to keep a list of leads. Google Sheets is included in paid plans.
Connect Google Sheets
- Owners and admins open Settings and find the Google Sheets card.
- Click Connect Google Sheets and sign in with Google.
- Make sure the box for Google Drive file access is ticked, then continue.
VivaDialog can open only the spreadsheets it creates for you, nothing else in your Google Drive.
Create a spreadsheet
Under New spreadsheet, give it a Name and choose the Columns:
- Time (UTC)
- Channel: Facebook, Instagram, Threads, Telegram, or Email
- Account: the connected account the message came to
- Type: message or comment
- Contact name
- Message: the text, up to 5,000 characters
- Automation or flow: which one wrote the row
The columns become the headings in the first row and can’t be changed later. For other columns, create another spreadsheet. Click Create in Google Drive, and the spreadsheet appears in your Google Drive. A workspace can keep up to 25 spreadsheets.
Add a row from an automation
Open the automation, go to Advanced settings, and under Write a row to a spreadsheet pick the spreadsheet. Each message the automation handles adds one row. The automation’s history shows whether the row was written or is still waiting.
Add a row from a flow
In the flow, click Add step, choose Write a row to a spreadsheet under Integrations, and pick the spreadsheet. If writing the row fails, the flow carries on with the next step.
When rows appear
Rows are written in batches, usually within seconds. Every value is written as text, so a message that starts with “=” never turns into a formula. YouTube comments are never written.
If Google is busy, VivaDialog tries again later. A row that is still waiting after a day is dropped. The card shows, for each spreadsheet, when the last row was written, how many rows are waiting, and how many were not written in the last 7 days, with the reason.
Remove a spreadsheet or disconnect
- Remove from list takes a spreadsheet out of VivaDialog. The file stays in your Google Drive, and automations and flows that write to it skip it.
- Disconnect removes VivaDialog’s access at Google. Rows still waiting are not written. Your spreadsheets stay in your Google Drive and in the list, and writing starts again when you connect again with the same Google account.
If the card says “Google no longer accepts this connection. Connect again to keep writing rows.”, see Google Sheets asks you to connect again.
If the workspace turns read-only, no rows are written. See the free trial and read-only mode.
