Contacts, segments, and CSV download

Updated 20 October 2026

Contacts lists everyone who commented on or sent a DM to one of your connected accounts. Each person has a stage, so you can see who is interested and who already bought.

Stages

  • New: wrote to you, nothing more is known yet.
  • Interested: asked about a price, a product, or how to order.
  • Customer: has bought from you.
  • Not interested: said no, or stopped answering.

You change a stage by hand on the Contacts page or in the inbox. A rule can move people forward to Interested or Customer for you, but never back. See how automation rules work.

The same person can appear twice: Meta gives someone who comments and someone who sends a DM different ids, and VivaDialog does not guess that they are the same person.

Filters

Above the list you can narrow it down by:

  • Platform and Account;
  • Reached you by: DM, or Comments only for people who never sent a DM;
  • Inbox tag: a tag on their comments or DM, such as lead;
  • Last seen: in the last 7, 30, or 90 days, or not in the last 30 or 90 days.

Search by name also finds a contact by their exact platform ID. The stage tabs and the search work together with the filters, and the count on each stage tab follows them. Clear filters resets everything.

Saved segments

Click Save as segment to keep the current filters under a name, for example “Interested on Instagram”. A segment stores the filters, not a list of people, so it always shows who matches right now. The whole team sees and uses the same segments. A workspace can have up to 20; deleting a segment leaves the contacts as they are.

Download CSV

Download CSV saves the contacts that match the current filters, stage tab, and search. The file has one row per contact with: name, platform, platform ID, stage, whether they sent a DM, number of comments, tags, and when they were first and last seen. It holds up to the 10,000 most recent matching contacts; narrow the filters to get the rest.

The file opens in Excel and Google Sheets, including names in other alphabets. It contains your customers’ names and ids, so store and share it as carefully as the rest of your customer data.

Contacts are part of the workspace data the owner can download as JSON, and they are deleted with the rest of the customer data when a workspace is deleted. See export or delete your data.
